From enquiry to the last flightcase

Every event is a small factory built for one day: a site, a crew, machines, materials and a deadline that will not move. In most companies the plan lives across three WhatsApp groups, one spreadsheet and somebody's memory. It works, right up to the Saturday it does not.

Kolab Events keeps the whole factory in one place. A pipeline from enquiry to closed. Run sheets that everyone reads from the same copy. Crew booked by skill, with call notices and a quiet no-show history. Kit scanned onto the truck and back off it. Client approvals with a sign-off record, and deposits in rupees on a schedule.

It is in build, and it starts from working parts: our event-crew brick already does rostering, call notices and no-show tracking, and our asset register already knows how to hold a kit store. Founding teams shape what ships first.

Built on a crew brick that already works

Kolab Events is in build, assembled from bricks that exist rather than promises. The crew core is built; the vertical depth around it is the build.

  • Event crew brick: rostering, call notices and no-show tracking, built
  • Asset register brick for the kit store: speakers, trusses, linen, generators
  • Venue patterns from our room and resource booking work
  • Quotes, deposits and receipts on the same rupee documents as the rest of the family

Modules

Everything inside Kolab Events

Every module is a brick. Start with what hurts most, snap on the rest when you are ready.

Event pipeline

Enquiry, quote, confirmed, delivered, closed. Every event on one board, nothing lost in an inbox.

Run sheets

The minute-by-minute plan for the day, shared with crew and suppliers, updated once, read by all.

Kit lists & load sheets

What goes in the truck, QR scanned out and scanned back in. Missing kit surfaces on Monday, not next month.

Venue & supplier directory

Venues with access notes, power and wet-weather options; suppliers with rates and contacts.

Client approvals

Menus, layouts and playlists approved with a sign-off record, so "we never agreed that" ends.

Quotes & deposits

Quotes in rupees with deposit schedules: 50% to confirm, balances tracked, receipts issued.

Weather watch

Outdoor events carry a weather watch, and cyclone-season quotes carry a contingency clause, drafted in.

Debrief & kit return

Post-event debrief, kit return check and damage notes, closing the loop while it is fresh.

Event profitability

Quoted against actual: crew hours, kit, purchases. Know which events make money.

Run sheets

One plan, followed by everyone

The run sheet is the event, minute by minute. It lives in one place, so a change made once reaches every phone, and each crew member and supplier sees the slice of the day that concerns them.

  • One change updates every crew member's copy
  • Each person sees their own calls and duties
  • Suppliers get the slice of the plan that concerns them

Local by design

Events, island edition

Beach weddings, cyclone season and fin d'année parties: planning here has its own weather and its own calendar.

Cyclone-season clauses

From November to April, quotes carry a contingency clause and a plan B date, drafted in from the start, not argued about later.

The weather watch

Outdoor events carry a weather watch. The rain call is made at an agreed hour, and everyone hears it at once.

The season

Fin d'année, wedding season and festival dates stack up fast. The pipeline shows the crunch weeks before they arrive.

Crew on WhatsApp

Call times, changes and the rain call reach the crew on WhatsApp, with confirmations recorded, not assumed.

Rupee deposits

Quotes, deposits and receipts in MUR, on the schedule the industry already uses. No dollar pricing on a Mauritian wedding.

DPA 2017

Guest lists and crew records are personal data, held with role-based access, honest retention and exports on request.

Boost for the crew

Event crews live on reputation. Boost makes reliability visible and rewarded.

Reliability streaks

Turning up on time, event after event, builds a streak a crew member can point to.

Kit care

Clean scan-ins with nothing missing earn points for the whole load crew.

Debrief kudos

Kudos from the event lead after a hard day lands as points, and points become rupee-budgeted rewards.

Questions

Asked all the time

What counts as an event team?
One planning office and the crews it books. Crew members are unlimited and free on every tier; you pay for the team running the events, not per waiter.
Do crew members need to install anything?
No. Call notices, run sheet slices and the rain call arrive on WhatsApp with one-tap confirmations. The app is for the office and the event leads.
Can clients see and approve things?
Yes. Menus, layouts and quotes go out as approval links, no login needed, and each sign-off is recorded with who approved what, and when.
How does the cyclone clause work?
Quotes issued in cyclone season carry a contingency clause and a plan B date as standard. If a warning comes, the weather watch triggers the agreed call and messages clients, crew and suppliers at once.
When does it launch?
Kolab Events is in build. The crew brick, with rostering, notices and no-show tracking, is built and working, and the asset register already runs kit stores. Founding teams on the waitlist shape the first release and lock the launch price for two years.
Does it do our accounts too?
Quotes, deposits and receipts are included. Full double-entry books belong to NexBooks, and the two link so nothing is typed twice.
