If it was not recorded, it did not happen

A field team leaves base in the morning and the business runs on trust until they return. Then the client says a visit was missed, the carer says it was not, the paper timesheet says something else again, and everyone loses: the worker's word doubted, the client's bill disputed, the manager stuck in the middle.

Teren replaces the argument with a record. Each visit is checked in and out with a GPS and time stamp, the work is ticked on a checklist, photos and a signature close it, and it all works with no signal, syncing when the phone finds some. Timesheets assemble themselves from real visits and flow into Kolab HR for payroll.

And a plain promise on privacy: Teren tracks visits, not people. Location is captured at check-in and check-out only, never in the background, and every field worker can open the app and see exactly what has been recorded about their day. That is how we read the Data Protection Act 2017, and how we would want to be treated ourselves.

The round does not wait for signal

Field work happens in stairwells, basements, cane fields and cyclone weather. Teren captures every stamp, tick, photo and signature on the device and syncs when connectivity returns. The queue is visible, so nothing is silently lost.

Lone workers are never alone

A nurse in a stranger's home, a guard on a 02:00 patrol, a meter reader far up a private road. Scheduled safety check-ins ask "all ok?", and a missed one escalates to a supervisor immediately, with the last confirmed location from check-in.

Rounds here cross the whole island, the weather has opinions, and the law protects the people doing the work. Teren is built for all three.

Cyclone rounds

When a warning is issued, rounds resequence around priority clients, safe stand-downs log correctly for pay, and clients are told on WhatsApp.

Asked all the time

Do you track staff all day?
No, and we never will. Location is captured at check-in and check-out only, there is no background tracking, and every worker can open the app and see every record about their day. Teren proves visits, it does not follow people.
What happens with no signal?
Everything keeps working: stamps, checklists, photos, signatures. Each capture records the moment it happened and uploads when the phone reconnects, with a visible queue so nothing is silently lost.
Can our clients see the proof?
Yes, through a portal scoped to their own sites and visits only. Many teams find the portal is what wins them the next contract.
What phones does it need?
Any reasonably recent Android or iPhone. A shared device per crew works too, with each worker signing in for their round.
How does this sit with DPA 2017?
Visit records are purpose-scoped, retention rules apply, subject access exports are self-service, and the privacy notice for staff comes written in three languages. We register the approach plainly with every deployment.
What is built today, honestly?
