Kolab FieldWork · Teren In build
Proof of every visit, even without signal
Kolab FieldWork gives mobile teams GPS and time-stamped check-ins, visit checklists, photo proof and signatures, all working offline and syncing later. It tracks visits, not people, and everyone can see exactly what is recorded.
- GPS and time-stamped check-in and out at every site
- Checklists and forms per visit, configured your way
- Photo proof and client signatures, stored per visit
- Timesheets built from visits, straight into payroll
Made for
If it was not recorded, it did not happen
A field team leaves base in the morning and the business runs on trust until they return. Then the client says a visit was missed, the carer says it was not, the paper timesheet says something else again, and everyone loses: the worker's word doubted, the client's bill disputed, the manager stuck in the middle.
Teren replaces the argument with a record. Each visit is checked in and out with a GPS and time stamp, the work is ticked on a checklist, photos and a signature close it, and it all works with no signal, syncing when the phone finds some. Timesheets assemble themselves from real visits and flow into Kolab HR for payroll.
And a plain promise on privacy: Teren tracks visits, not people. Location is captured at check-in and check-out only, never in the background, and every field worker can open the app and see exactly what has been recorded about their day. That is how we read the Data Protection Act 2017, and how we would want to be treated ourselves.
Built from working field bricks
Teren is in build, and its two hardest pieces already work in the field as Kolab bricks.
- GPS and time-stamped visit confirmation comes from the built homecare-visits brick, offline included
- Route stops, checklists and signatures come from the built route-app brick
- Arrival and sign-in patterns reuse the visitor-kiosk brick
- Timesheets flow into Kolab HR, where Mauritian payroll already lives

A closer look
How Kolab FieldWork feels day to day
Check in, do the work, check out
The visit screen is deliberately simple: arrive and check in, tick the checklist, add photos if the work needs them, collect a signature, check out. Each step is stamped, and the whole visit becomes one clean record.
- One tap to check in, place and time stamped together
- Checklists keep quality identical across the whole team
- The signature closes the visit on the spot, not at month end
The round does not wait for signal
Field work happens in stairwells, basements, cane fields and cyclone weather. Teren captures every stamp, tick, photo and signature on the device and syncs when connectivity returns. The queue is visible, so nothing is silently lost.
- Every capture works with zero signal
- A visible sync queue shows what is safely uploaded
- Stamps record the moment they happened, not the moment they synced
Proof for whoever pays for the round
The family paying for homecare, the factory paying for pest control, the landlord paying for night patrols: they all get a portal showing their visits confirmed with time, place and proof. The monthly argument becomes a monthly report.
- Clients see only their own sites and visits
- Confirmed visits carry proof, not just a tick
- Invoicing disputes fall away when the record is shared
Lone workers are never alone
A nurse in a stranger's home, a guard on a 02:00 patrol, a meter reader far up a private road. Scheduled safety check-ins ask "all ok?", and a missed one escalates to a supervisor immediately, with the last confirmed location from check-in.
- Check-in prompts on a schedule the worker knows
- Missed check-ins escalate to a human straight away
- Escalation uses the last visit stamp, never live tracking
Local by design
Field work, island rules
Rounds here cross the whole island, the weather has opinions, and the law protects the people doing the work. Teren is built for all three.
Cyclone rounds
When a warning is issued, rounds resequence around priority clients, safe stand-downs log correctly for pay, and clients are told on WhatsApp.
Heavy rain alerts
Red alerts pause non-essential visits with one switch, and the day's record shows why, honestly.
DPA 2017, by design
Visits, not people: location only at check-in and out, purpose-scoped records, retention rules, and staff can see everything recorded about them.
Kreol in the field
Checklists, prompts and safety check-ins in English, French or Kreol Morisien, per person.
The 15-minute message
Clients get "nou pe vini dan 15 minit" automatically, and stop calling the office to ask where the team is.
Visits become payslips
Timesheets assemble from real check-ins and flow to Kolab HR, where PAYE, CSG and overtime are computed properly.
Boost in the field
Field work is invisible work. Kolab Boost makes the good days count, in points the whole team can see.
Complete-proof streaks
Visits closed with checklist, photo and signature build streaks that make quality a habit.
Punctual rounds
Arriving inside the promised window earns points, and clients feel the difference before they see the report.
Safety first
Reporting hazards and never missing a safety check-in earns points, because coming home safe is the real KPI.
In the wild
What it looks like in real businesses
Families see every visit confirmed with time and signature in the portal. Billing disputes ended, and carers stopped being asked to prove their honesty.
Night patrols carry GPS stamps at every point, missed patrols surface by 06:00, and the client portal replaced the monthly report meeting.
Recurring schedules refill the calendar, each treatment closes with photos and a certificate, and the HACCP-minded factory client gets proof without asking.
